Belmont Services Bowls Club "Hibiscus Room" setup for a Wedding General: The club has the following facilities available for Hire * The Hibiscus Room to accommodate a maximum of 200 guests (banquet style) or 300 guests (theatre or conference style) * Fully equipped kitchen. * Boardroom to accommodate a maximum of 15 guests * Barefoot Bowls. General Conditions: A deposit of $100.00 for the Hibiscus Room and $20.00 for the Boardroom will confirm your booking. Deposits are non-refundable but, provided due notice is given no later than 14 days prior to the original booking date, may be transferred to another date. In addition. a Bond of $150.00 applies to the Hibiscus Room bookings and will become forfeit in whole or in part towards any additional cleaning costs or damage claim that may be incurred. Hiring is available with or without in-house catering. External or self catering is permitted if required - hiring charges apply to use the kitchen. The Club reserves the righ to accept or refuse any request to hire the facilities. Confirmation of Numbers and Payment. Final numbers must be confirmed to the club no later than 7 days before the date of the event. catered events will be invoiced on final numbers as advised. Arrangements must be confirmed by payment of a deposit of 50% of invoiced catering charges no later than 7 days before the date of the event. The Balance of catering charges together with the balance of hire charges and any beverage charges and any other costs are to be settled in full on the day of the event. Payments may be made by cash or credit card or by cheque if pre-arranged. Operating Hours The Hibiscus Room is available until 11.00 pm Sunday to friday and to 12.00 midnight on Saturdays. Access for setting up if required is usually available from 3pm. Alternate arrangements may be made with the Club to meet special circumstances. It is mandatory that all patrons are clear of the premises and the car park by 11.00 pm Sunday to Friday and by 12.00 midnight on Saturday nights. Special arrangements are available for New Year's Eve. Boardroom availability is by negotiation. Entertainment By Arrangement, musical equipment may be delivered to the club after 10:00am on the day of the event and picked up after 11:00am the following day. Music must be of moderate amplification and noise generally must be kept within reasonable bounds. Staff have the right to ask that noise levels be reduced at any time. Music must cease no later than 30 minutes before finishing time. Care of the Club's Property The hirer shall take all reasonable steps to maintain the condition of the Club's property as they found it. Normal cleaning costs are included in the room hire. Additional cleaning charges may apply if the premises are left in an unreasonably` disordered state. The hirer is responsible and shall reimburse the Club for any damage loss or liability caused or incurred by the organiser or guests at the function. Beverages Usual bar service is available to the hirer and guests. Table service, if required can be arranged at the cost of the hirer. Liquor Act restrictions and Club policy requires that all liquor, soft drinks and juices for consumption must be supplied by the Club. No drinks are permitted to be brought on to the premises. The Club adheres to Responsible Service of Alcohol procedures. Requirement of RSA will be applied by trained bar staff and in particular, younger patrons will be required to produce acceptable ID. To confirm with the provisions of the Liquor Act, all guests are required to sign the Visitor's Register. The operation of a hirer's bar tab (dry till) is available by arrangement. Dress All guests must maintain a satisfactory standard of dress. Setting up and Accessories Within the standard hire charges, tables and chairs will be arranged to a reasonable configuration as required by the hirer. Tablecloths, crockery and cutlery are available for hire for self-catered functions. Any additional table decoration or adornment is the responsibility of the hirer. Hall decoration as approved by the Club is the responsibility of the hirer and must be dismantled immediately after the event. Ant goods or equipment brought on to the premises are at hirer's are at hirer's risk. Parking There is ample parking available in the floodlit Club Car Park. The entrance is via Narracott Street opposite the PCYP complex. The Car Park must be vacated by 11:00 pm on week nights and by 12:00 midnight on Saturday nights. HouseKeeping Hirers are requested to advise guests that other than for approved and supervised barefoot bowls activities entering upon the bowling greens or interfering with flags and markers surrounding the greens or any other playing infrastructure is strictly prohibited. In particular, hirers are expected to take the necessary steps tp keep children off the greens. Smoking is not permitted within the Clubhouse building. Designated outdoor smoking areas have been established outside the building, as described in the several notices throughout the building. The use of any smok emitting devices within the premises is prohibited. Organisers are requested to ensure that guests are made aware of the designated fire exits throughout the building. Men's and Ladies toilet facilities are located at each end of the building. Security The Club reserves the right to engage professional Crowd Controllers , at the cost of the hirer in appropriate circumstances.
